Journal Entry Interface Steps

Please send over the steps for the Journal Entry Interface into PENTA

Resolution/Fix/Answer

  1. Create the Journal Entry Interface excel file that was sent from PENTA or start from scratch with the correct Journal Entry Interface fields with pipes
  2. Combine the Header and details together -  Save the excel file
  3. Save the Excel file as a .CSV (comma delimited)
  4. Open up Notepad and open up your .CSV file.
  5. Remove all commas
  6. Review your file for any strange characters
  7. Save the file as a .txt with a name you will remember
  8. Login to your transfer program typically use FileZilla
  9. Find the .txt that you saved and move over to the right
  10. Login into PENTA and Navigate to the Initiate Batch Interface Request window
  11. Enter Type: JE and the file name as the Request Id
  12. Click on Initiate Interface requests with a status of A
  13. Navigate to the Interface Inquiries window to see if your Interface was successful. If it was not, navigate to your Report Monitor Print and View window, and open the IFEXCEPTION report code to view error information
  14. If you do not see a IFEXCEPTION report, this means the interface went through successfully! In this case, just to confirm, you will want to navigate to the Interface Query window (Interfaces>Interface Query) and query back your file name using the Request Id field. If the 'Status' field is C, that means it did in fact interface successfully
  15. System option 125 determines if the Journal Entry Interface automatically distribute the journal entry during the interfacing process. If this option is set to Y, then the interface is complete, the journal entry has been posted, and you are done! If not, proceed to the next step.
  16. Navigate to the Journal Entries window (Or Distribute Journal Entries window if you prefer), and manually distribute the journal entry.Â
