Create Equipment Timecard automatically when employee time entered

Issue/Symptom/Question

Is it possible to avoid having to remember to enter the equipment timecards when the employee timecards are submitted?

 Human Resources > Employee Information > Property tab

Resolution/Fix/Answer

Once the asset is linked to the employee record, through the Human Resources > Employee Information screen using the Property tab to identify the asset associated with the employee (generally a vehicle), you can set the parameter to create the equipment timecard automatically when the employee timecard hours re entered.

In the Employee HR Information screen;

  • Query the employees associated with the Assets you want to create timecards for
  • Select the Property tab
  • Select the Property Type Code for the asset to link
  • Enter the Fixed Asset Id and Date Issued values


In the Time/Equipment/Production Units entry screen,

  • Click on the 'file' dropdown menu at the top of the screen, 
  • Select User Preferences
  • Select Window
  • Select Default Values tab
  • Click on the checkbox for 'Create Eq Timecard' 
  • Click on 'Apply'


When you enter the employee's labor hours in the Timecard screen, an equal number of hours will automatically be entered to the asset associated with the employee.
