Changing PTO carry over setting during the calendar year
Issue/Symptom/Question
Decision to change from no annual PTO carry over to a carry over limit for certain PTO categories and found that the Carry Forward at Year End column of the PTO Category screen is greyed out and not enterable.
Applies To
Payroll/Setup/PTO, Hours Classification Codes and Overtime Rules/Paid Time Off Categories
Resolution/Fix/Answer
The Carry Forward at Year End value will need to be changed by Penta, and evaluated for timing. Â
The Carry Forward flag comes into play during payroll processing when the annual carryover period ends for employees (either at year end or at employee anniversary date) or when the Year End PTO Writeoff process is run. Changing the flag will not impact any adjustments already made, but will be a "going-forward" change. So if the flag is changed mid-year, some manual PTO adjustments may be needed for employees who may have already had PTO written off.
Once this value changes, the new value (Y or N) applies to the 'prior' calendar year as it affects the current calendar year.Â
So if the value changed in November of 2018, PENTA will check for carryover amounts from 2017 and apply them during the first November payroll processed after this change is made. Â
Generally, when a Company decision has been made to change from no PTO carry forward, to the ability to carryover hours from one calendar year to the next, the actual Carry Forward field value change should be timed to occur after the current year's final payroll has been completed, and before the new year's payroll has been processed.Â
This will place the new functionality correctly, for PENTA to review the prior year for any applicable remaining PTO hours to carry forward to the new year.
