Remove automated expiration dates on Voluntary Deduction
Issue/Symptom/Question
Penta puts an expiration date in the employee's voluntary deduction master when the employees hit their 401(k) limit for the year. Now that we are in a new year how can we find out what employees have an expiration date in their master so we can remove this?
Applies To
Employee Voluntary Deduction screen
Payroll> Employees> Voluntary Deductions
Expert Query Pop-Up
This pop-up is accessed by selecting the Red "E" button found adjacent to the Query button on the toolbar.
Note: this is only accessible when the screen is already in query mode.
Resolution/Fix/Answer
This can best be accomplished through an "expert query" in the Voluntary Deductions Screen. To do this navigate to the Voluntary Deductions Screen and enter Query mode. Follow the below steps to further execute an expert query:
- Select the Deductions you wish to Query on
- Focus your cursor on the "Deduction#" Field
- Activate the "expert Query" pop-up (select the "E" Button located next to the "Q" on the toolbar)
- In the Expert Query Popup:
- Select the "=" buttonÂ
- Enter the 1st deduction you wish to query on (E.g. 500)
- Select the "Accept" button
- IF you have more than one 401k deduction select the OR buttonÂ
- Select the "=" button again
- Enter the 2nd deduction you wish to Query on (E.g. 501)
- Select the "Accept" Button
- Continue the above process for all necessary deductions
- Once finished submit the Expert Query Criteria by selecting "OK"
- Select the range of expiration dates you wish to query on:
- **Focus your cursor on the "Expiration Date" Field
- Activate the "expert Query" pop-up (select the "E" Button located next to the "Q" on the toolbar)
- In the Expert Query Popup:
- Select the "Between" button
note:Â This should display two field in the bottom portion of the screen: A "Between" field and "And" field - Enter 01/01/2017 in the "Between" Field
- Enter 12/31/2017 in the "And" Field
- Select "Accept"Â
- Submit this Expert Query Criteria by selecting "OK"
- Select the "Between" button
- Execute the Expert Query
- Once steps 1 and 2 are completed, execute the query as you normally would (I.E. Select the "Query" button to exit query mode).
Following the above instructions using the example values should execute a query for all Voluntary Deductions where the Deduction # = 500 OR 501 AND that contains an expiration date in 2017.
CauseÂ
When an employees hits a preset Deduction limit it will expire the deduction (I.e. it will enter an expiration date on the Voluntary Deduction record on the date the Employee hits the limit). Using the Expert Query tool users can easily pull back Voluntary Deduction records which need to be unexpired.
