Saving a report in Workbench and allowing other Users to view it
Issue/Symptom/Question
- How do I save the report I created in Workbench and share it with other users so that they don't have to recreate what I have already done?
- Does the Workbench have the ability to save company reports?
Applies To
PENTA Workbench > Saved Reports
Resolution/Fix/Answer
There are 2 different options available to a user for being able to save a report in the workbench and share it with another user.
The first option is that Workbench allows you to share reports with other users as long as the report is part of a "Reporting Center" panel:
1) PENTA Workbench > Selected Panel
2) Click the "Save as Company Report" button and an "Enter Bookmark Description" field appears, enter in desired description and click "Save"
3) Workbench returns you to the panel view and adds the company saved report under "Company Standard Reports" found in your selected "Reporting Center" panel
4) Other users can now view this Reporting Center bookmark in their Workbench.
Note: User must have access to the selected "Reporting Center" panel in order to view the "Company Standard Report"
The Second Option applies to all panels and personal bookmarks on the Workbench (excludes company bookmarks). Instead, there is a Transfer Bookmarks script that exists where a System Administrator can copy all of a user's bookmarks and give a copy of each bookmark to other user's:
1) Have a "Master" user go through and save all of the bookmarks that are to be shared across users
2.) Identify the "Master" user, and all other user's that should receive the bookmarks.
3) A System Admin will run the script, transferring a copy of the master user's Personal Report Bookmarks ONLY to every single user that was specified.
4.) Any of the receiving users should be able to access a copy of the bookmark after the script has been run
5) Each receiving user's received copy is now their "own" bookmark, which they can modify as they wish now
NOTE: Any updates/changes that the Master User (or any other User) makes to these bookmarks AFTER the script has been run will NOT have those updates/changes applied to the rest of the users, so each user must maintain these bookmarks individually moving forward.
