Steps to mass update PTO Balances

Issue/Symptom/Question

How can the employees beginning PTO balances be loaded?

Environment

PENTA for Windows > Payroll > Employees > Employee Paid Time Off Adjustment Entry

Bridge (PRS083)

Resolution/Fix/Answer

  1. Populate the template (PTO Upload template.xlsx) with 
    1. employee Ids, 
    2. PTO Code, 
    3. effective date, and 
    4. hours
      Do not enter anything in the Upload tab
  2. The template will populate the Bridge format Upload tab
  3. Make sure all rows from the data template are mapped to the Upload tab (if I enter 500 employees, the Upload tab should have 500 rows)

    ** If not familiar with Bridge and would like Penta assistance, create a Support Ticket in Service Desk requesting assistance and attach the file to the ticket

  4. Once the Upload tab is confirmed to have all the data rows, click on the Upload tab and save as .csv
  5. Open the .csv file in Notepad
    1. hit ctrl+h to perform a find and replace
    2. enter a comma "," in the Find field and leave the Replace field blank
    3. hit alt+a to replace all commas with nothing
  6. Save the Notepad file as PRS083.bat
  7. FTP the PRS083.bat field to the penta database server in the /opt/app/penta location (or /opt/app/pentatst)
    1. If the customer has a specific user for interfaces or bridge, then the location would be the /opt/app/username
  8. Connect to the penta database server using SSH as the penta user (or pentatst or username, whichever is where the file is saved)
    Hit Enter and then type penta and hit enter
  9. Select the Bridge version of the database to upload the hours into
    Might want to run a test in a testing environment to confirm (refresh the environment with PROD first)
  10. Login as penta
  11. Navigate to the Employee Paid Time Off Adjustment Entry screen and hit Enter
  12. After the Bridge process completes check the error file PRS083.err

If there is a significant error the hours can be offset by changing the hours loaded to negative hours and the process repeated.

Hours can be reviewed in the PTO Audit Summary Report
