Set up tools in MFS so that technicians can charge them to Work Order tickets

Issue/Symptom/Question

Our technicians will rent tools from our warehouse to use on jobs by having the warehouse transfer the fixed asset to the technician's yard (their truck). Is there a way for our technicians to select the rented asset on their ticket? How do we properly set up the tools?

Applies To

PENTA for Windows

Fixed Asset Management > Asset Information

System Management > Security > Define Users

Human Resources > Employee Information > Employee HR Information

Mobile Field Service

Resolution/Fix/Answer

Yes - a technician is able to select and charge a fixed asset to their Work Order as long as the tools are properly set up in MFS.

Here is a checklist to ensure a fixed asset/tool can be selected off a technician's device:

1) Does the fixed asset have usage charge information established? This includes the usage account # and a usage rate. If no rates or usage accounts have been established for the fixed asset (tool), PENTA won't send it to the device as it cannot be charged to a WO or job.

(Fixed Asset Management > Asset Information > Charge by Usage tab)

2) Is the fixed asset active? If not, PENTA won't send it to the device.

If all of that is OK, it is probably OU related. In general we send it to the device, fixed assets/tools that meet the above criteria and are in an OU that is either the technician's OU or in the list of additional tool OUs established on the mobile tab of the Define Users window.

3) What is the fixed asset's OU?

4) What is the technician's user default login OU? If null, what is the technician's employee OU? Right now we look at the OU on the user first, and if there isn't one we look at the OU on the employee to determine the technician's OU.

(System Management > Security > Define Users)

(Human Resources > Employee Information > Employee Payroll Information)

5) Are there any OUs listed in the additional Tool OUs section at the bottom of the mobile tab on the Define Users window for the technician's User ID?
