W2 on Employee Portal
Issue/Symptom/Question
We are working with a requirement that employees can opt to receive their W2’s in paper form, electronic form, or both.
In Penta the Employee Information - Reporting tab includes a Yes/No option for Electronic W2’s.
If we mark an employee as “N” for Electronic W2 would their W2 still be available to push it to the Portal? We need an option to support the ‘Both’ option.

Resolution/Fix/Answer
When generating W2s, answering Yes to the "Create Electronic W-2 Files? will create the electronic W2 file for all or specified employees. It would depend on the other settings within this window.
Penta will create a W2PRINT file for employees who have the Electronic W2 (Y/N) set to N, this will allow your payroll user to print only those files that will not be uploaded to the Portal.
NOTE: There is nothing to distinguish which employees requested electronic W2s in the Approve Documents for Employee Portal window, approvers will have to approve only those employees who requested electronic copies.
