Use the Interface Query window to review processed interface requests. It allows you to view the contents of each record that PENTA could not load along with the resulting message(s).

PENTA subjects an interface data file to the same checks and validations as data you enter manually. If a record in an interface data file does not pass the validation, PENTA rejects the record and moves on to the next. When PENTA rejects a record, it records an exception message that you can view on the Interface Query window or on the Interface Exception and Invalid Distributions reports. PENTA generates these reports as part of every interface process.

Inquiry tab

Interfaces > Interface Query > Inquiry tab

Use the Inquiry tab to indicate which of the interface requests you want to review. PENTA retrieves those records from the database.

When you perform a query here, PENTA displays all the interface request records that match your query criteria. You cannot change or otherwise update any of the information through this window.

The information located on the Inquiry tab is stored in the INTR_RQST_BASE table within the PENTA database.

You can use all fields in this tab to narrow a query. After executing the query, these fields are for display only.

Request Id

Use this field to limit your query by the name of a data file submitted to PENTA for interface processing.

Type

Use this field to limit your query by a specific category of interface data and its related processing program.

User Id

Use this field to limit your query by the PENTA user that initiated the processing request

Status Date

If the Request’s Status is A (Available for Processing), use this field to optionally limit your query by the date is when a PENTA user entered the request using the Initiate Batch Interface Request window.

If the Request’s Status is C, R, H, E, or W, this date is when PENTA processed the file.

Status Time

Use this field to limit your query by the time of day in 24-hour format.

If the Request’s Status is A, this field displays the time when a PENTA user entered the request using the Initiate Batch Interface Request window.

If the Request’s Status is C, R, H, E, or W, this field displays time when PENTA processed the file.

Status

Use this field to limit your query by the currently assigned interface processing Status. Possible values are:

  • A (Available for processing) – You can assign status in the Initiate Batch Interface Request window.
  • C (Complete) – Successfully processed and complete. PENTA assigns status.
  • E (Completed with errors) – Processed and complete. PENTA assigns status. Error messages were reported. (Warning messages may also exist.)
  • H (On hold and has not been processed) – You can assign status in the Initiate Batch Interface Request window.
  • R (Rejected) – PENTA assigns status.
  • W (Completed with warnings) – Processed and complete. PENTA assigns status. Warning messages were reported with no errors.

PENTA Batch #

Use this field to limit your query by the Batch Number PENTA assigned when processing the interface data file. PENTA uses interface data to create a batch of data entries, just as if you had manually entered the data into PENTA.

Note: This window does not show a PENTA Batch # for Journal Entry interfaces.

Inquiry Detail tab

After performing a query on the Inquiry tab, use the Inquiry Detail tab to review any records that did not pass PENTA’s validation. This tab displays detailed information for the interface request highlighted on the Inquiry tab. For reference, the top of the tab displays the Request Id, Type, User Id, Status Date, Status Time, Status, and PENTA Batch Number associated with the highlighted interface request from the Inquiry tab.

PENTA retrieves all records that caused exception messages (errors or warnings) during processing. For each record, PENTA displays the record’s contents in the (bottom) text block on the window. With the insertion point in the middle block, you can click on the Display Messages pop-up window to view the message(s) PENTA produced because of the exception.

On this window, you can delete records for which PENTA reported exceptions. Deleting a record also deletes its exception messages, which may cause difficulty in determining the source of the exception.

Header information displayed on the Inquiry tab is stored in the INTR_RQST_DTL table within the PENTA database. The data within the Record Data block is stored in the TEXT_3 column in the INTR_RQST_DTL table.

You can use the fields to narrow a query, but they are display only after you perform the query.

File Record #

The relative number—within the interface data file—of the record that caused an exception. You can perform a query and make an entry here if you want to retrieve a specific record.

Record Data Block

The record data block displays the contents of an interface data file record that caused an exception during processing. This display, in combination with the available message information, may allow you to locate the source of the data load exception. Although you can scroll through records, you cannot change or delete the record data.

Display Messages button

Clicking the Display Messages button launches the Total Exception Messages pop-up window.

The Total Exception Messages pop-up window allows you to review the error or warning messages PENTA generated when processing the current data record. It displays one or more (sequentially numbered) messages that PENTA generated in its attempt to load the currently displayed record.

When you open this window, PENTA displays the first message it produced for the related record. You cannot change any information that appears in this window, but you can delete individual messages. Doing so, however, may cause difficulty in determining the source of a data load problem.

Note: Although you can delete an exception message, you must correct the data record itself in some manner before you can load its information into PENTA’s database.

The data displayed in the Exception Messages pop-up window is stored in the INTR_RQST_MSG table within the PENTA database. The detailed Message Text records are stored in the TEXT_3 column of the INTR_RQST_MSG table.

Message #

The number PENTA assigned this exception message (it may produce more than one message for a single data record). In the Total Exception Messages field to the right, PENTA displays the overall number of messages resulting from the data record. If you want to retrieve a specific exception message, you can perform a query and make an entry here.

The number of exceptions (errors) noted for the data record.
