Adding an OnBase Document Type to Customer Portal Security

Issue/Symptom/Question

Now that OnBase security is disconnected from Penta user group setup, what do I need to update to add a new document type for people who use the Penta Customer Portal? Attached is a screen shot of where it used to be done.

Resolution/Fix/Answer

If you don’t already have a “Portal User - Standard” user group within OnBase Configuration, you will have to create one. Then you will need to use the “Members” button to add members to the group, and the “Document Types” button to specify valid Document Types. Penta no longer syncs this information with OnBase.

You will want to make the list of Document Types the same in Penta and OnBase, though, as the list in Penta is possibly used for LOV’s here and there. 

To give the Customer Portal user access to the documents:

  1. Give the POBSYS user access to the document type(s). This user is often used in scenarios like this were there’s not a true Penta user tied to the activity.

  2. Since a Portal user is tied to security groups, make sure the corresponding group or groups are given access to the document type(s) in the Document Type Security tab of the Security Groups window.
