Option 229 - Auto close Job Transactions

Issue/Symptom/Question

We are looking for a report where we can filter out jobs that we deem substantially complete but not closed. We would envision adding another category on the job status that would mimic an active job, so that we can still enter accounting transactions, but we need to be able to filter these jobs out of our work in progress reports on the work bench. Is there anyway we can accomplish this end goal?

There is currently no Job Status that fits this criteria... (how do we make the job appear closed to job reports, even though we need to keep it open for cost entry)

Environment

  • Option 229 = Yes;  Prevent all types of costs after job is marked as closed
  • Job Status = Closed
  • Keep jobs open, and only close jobs when all possible costs have been entered and posted
  • Job reports - Work in Process

Resolution/Fix/Answer

  • Set option 229 to No.  This will allow costs to be charged to a Closed status job, and will not automatically enter any close dates in the Job Close Information screen 
  • For all jobs that should be closed, set Status to "C" 
  • Evaluate if any specific types of costs should be prevented, and enter a close date for these in the Job Close Information screen.  User will receive an error if they attempt to post these types of transactions to this job.

example:  Job 1000 is substantively closed, and should not allow any further payroll timecard entry, but vendor invoices are still coming in, and should be entered, and there are some Journal entries that are needed for adjustments.  With option 229 set to No, the closed date can be manually entered in the Job Close Information screen for Labor Timecard and Equipment Timecard entries, leaving all AP and GJ entries available to be posted to the job.  

The jobs would be marked as closed, and would not be included in the job reports when only Active Jobs are selected.

Cause 

  • Option 229 = Yes;  This setting will prevent posting of all types of transactions as of the closed status date of the job (no further posted costs allowed)
