PENTA Billing Overtime Hours as Regular

Issue/Symptom/Question

Whenever we enter Labor as premium hours they get pulled into the T & M billing as regular hours. Why is this happening and how can we remedy it?

Applies To

PENTA AR Job Invoicing and Billing

Standard Labor Pricing Schedule
Billing and Accounts Receivable> Setup> Standard Pricing Schedules> Standard Labor Pricing Schedule

Resolution/Fix/Answer

This occurrence can be attributed to the presence of an Overtime Hours Threshold located on the applicable Standard Labor Pricing Schedule.

To check for this:

Check which Labor Pricing Schedule is being applied

  • Navigate to the Job Master Record in question
  • Select the "Invoicing" Tab
  • Check the Labor Pricing Schedule

Check the Pricing Schedule in question for Overtime Hour Thresholds

  • Navigate to the Standard Labor Pricing Schedule screen
  • Query back the Labor schedule in question
  • Focus your cursor in the "Sequence" field
  • Locate the "Sequence" that is being applied (E.g. if the employee in question is in a given payroll class, check for a sequence that specifically applies to that PR Class)
  • Click on the "OT Hours Threshold" button
  • Check for a value in any of the 4 fields contained within the pop-up
A value in any of these fields indicates an override to all P1 and P2 hours charged to schedule in question
    • Premium 1 Hours/Pay Period Threshold indicates the point (measured in hours per pay period) where Regular hours stop getting billed and Premium 1 hours start to get billed.
    • Premium 2 Hours/Pay Period Threshold indicates the point (measured in hours per pay period) where Regular hours stop getting billed and Premium 2 hours start to get billed.
    • Premium 1 Hours/Pay Period Threshold indicates the point (measured in hours per day) where Regular hours stop getting billed and Premium 1 hours start to get billed.
    • Premium 2 Hours/Pay Period Threshold indicates the point (measured in hours per pay period) where Regular hours stop getting billed and Premium 1 hours start to get billed.

For Example: Assume a value of 8 in the "Premium 1 Hours/Day Threshold" field and a Value of 12 in the" Premium 2 Hours/Day Threshold" field

A time card entered for:

10 Regular 4 P1 and 2 P2 hours (total of 16)

Will get billed out as:

8 Regular 4 P1 4 P2

This will occur because the 1st OT Threshold dictates that P1 hours start getting billed after 8 and P2 starts getting billed out after 12 total hours (Regardless of how they were entered)
