Voluntary Deduction & Reimbursement window access for Confidential Employees
Issue/Symptom/Question
How do I allow users to only have access to the deductions of our confidential employees? I know that on the user setup if I give them payroll access to level 2 it would give them full access. How do I give them just access to deductions?
Applies To
Payroll
Option 156
Confidential Employees and Payroll Security Access
Administering Employee Deductions and Reimbursements
Resolution/Fix/Answer
Options if there is no concern with YTD Earnings Limit being visible:
1) Have the Users with Total Access (Payroll Access 2) maintain these windows
2) Take away the Employee Payroll Information window from Users without Total and give the User Total Access
- The User would not be able to Add new employees to PENTA but can maintain existing employees Deduction and Reimbursements, and HR Employee Maintenance
- New Employees are added through Employee Payroll Information window
Payroll Access gives permission to see the confidential employees (depending on system option 156, see Can't Find Employee With Pay Group Security for more info) and the ability to click on the Pay Rate Tab of an employee. Option 156 currently only applies to the Employee Payroll Information window. Other windows, like Voluntary Deductions & Voluntary Reimbursements, look at the Payroll Access of the User only, thus ignoring the setting of 156.Â
Penta is aware of the configuration preventing Users from maintaining Deductions & Reimbursements of Confidential Employees, and is reviewing the matter.
CauseÂ
Understanding was with Option 156 setting having Payroll Access 0 and 1 allow the User to view the Confidential Employee in Employee Payroll Information window (but not able to view Pay Rate Info) that the User could also administer Deductions and Reimbursements.
