How do I configure a Cross Reference in OnBase?

I would like to be able to view related documents from within OnBase (or the paperclip in PENTA).  How do I link up related documents as a cross reference?

There are several different types of Cross References in OnBase.  The most common method is what is called a Keyword Cross Reference.  This sort of a cross reference makes use of keyword information between two or more documents to create the links between them.  These document types must have the keyword in common.  For instance, an AP – Vendor Invoice might be linked to a PO – Purchase Order by a Purchase Order #.  The system will automatically compare the Keyword Values and match the documents, presenting the user with the document(s) that match the criteria defined for that document type.

These links can be created for a particular range on an image file.  For instance, if you click in the lower-right section of a check, you might be presented with a Signature Card.

Because of the nature of Keyword Cross Referencing, different file formats are fine to use.  There is an alternate method of Cross Referencing which makes use of text within a document to create the cross reference, which is not covered here.  The only requirement is that the current and retrieved document types have the keyword(s) in common.

  1. Open up the OnBase Configuration module.
  2. Select Document from the top menu.
  3. Select Document Types from the list.
  4. Browse through the list to find the Document Type you wish to configure the cross reference for, then click on the Cross-References button.
  5. In the Cross Reference Configuration window, select all Document Types which are to be cross referenced with the selected document.
  6. Click on the Keywords button to define the Keyword Relationship between the two documents.  Note that this list will only show you keywords in common between the two documents.  Once you have selected the keyword(s), you may click on settings for any particular keyword to define the settings for that keyword.  These may include prompting the user when multiple keywords are found, or retrieving documents that have at least one of the selected keywords in common.


If the document is an image file format (such at TIF, JPG), then you may configure the location which a user must double-click on to search for cross references.  Note that if you do not define this, the user may double-click anywhere on the image of the document to execute cross references.

 

You may use this functionality to set up zonal cross references.  For instance, if a user clicks near the signature of a check, they might be presented with a signature card.  If they click near the check number, they might be presented with a check register for that account.
