How do I configure an internal Autofill Keyword Set in OnBase?

Issue/Symptom/Question

  • When using an auto-fill keyword set while importing documents using the DIP Process, an internal Auto-fill keyword set must be configured as well as the AFKS must be set at the document type level.

Resolution/Fix/Answer

  1. Create an Autofill keyword set in OnBase Configuration>>Keyword>>Autofill Keyword Set
    1. Put in a the keywords you want to use to populate the secondary data (Vendor Id, Name, etc.)
    2. Assign a User Group to execute the AFKS
  2. Sign into OnBase Client
    1. Within OnBase Client navigate to Admin>>>Auto-fill Keyword Sets>>Management
  3. During this time the newly created AFKS will populate 
    1. Choose 'Add Set' to add a new set of data used for the AFKS
    2. When you are finished you may close out of the Keyword Set Management Tool

    3. Verify in OnBase Configuration if you want the Autofill to be set at the keyword type level or document type level.  (See Below)
      Keyword Type Level: OnBase Configuration>>Keyword>>Keyword Types>>Choose your keyword>>'Autofill Keyword Set'


      Document Type Level: If your Document Import Process (DIP) is setup to use 'Expand Autofill Keyword Set, you will have to set the AFKS at the Document Type level via OnBase Configuration>>Document>>Documents Types>>DT You will Use>>Keywords>>Assign the Autofill Keyword Set to the Document Type.


    4. When you are finished, you must perform an iisreset in order to see the changes in OnBase Unity Client, OnBase Client will just require a relaunch.   If you do not know how to do a iisreset, submit a service desk ticket and reference this article.
