Issue/Symptom/Question

How can I track the productivity of Subcontract/Temp Agency workers?

Applies To

PENTA for Windows

Payroll > Setup > Pay Groups, Pay Classes, and Workers Comp > Pay Groups

Payroll > Employees > Employee Payroll Information

Resolution/Fix/Answer

To be able to track labor productivity of Subcontractors or Temp Agency Workers, the person needs to be setup to have timecards processed.

  1. Create a Labor Distribution only Pay Group by setting the Labor Distribution Only flag to Y
  2. Create a new employee(s) and assign them to the new Labor Distribution Only Pay Group
    1. If you are tracking each worker separately, each worker will need to be setup (use a dummy SSN or the contract employee's SSN)
    2. If you are tracking a particular craft, create an employee record for each pay class craft to track
    3. Assign the job charge rate to cost jobs with
  3. Enter Time and Units with Normal Payroll and Process with Normal Payroll
    1. The Timecards are marked complete after Labor Distribution, so no pay checks will be processed for these employees
  4. Review Productivity related reports

Some customers create additional Pay Classes specifically for this situation and match the Accrued PR Account # to what the invoice is applied to from the Temp Agency or Sub, in order to see if they are using an appropriate charge rate to jobs.
