How can we create Loaner Equipment in PENTA?

Issue/Symptom/Question

We need to track customer equipment that is provided to us on loan in PENTA. How do we set that up?

Resolution/Fix/Answer

One of the ways you can track loaner equipment is to set the equipment up as an asset. Below are the steps to take to accomplish this:

  • Setup a Yard or Yards where the equipment will be located via the Fixed Asset Management > Setup > Storage Locations/Yards window
  • Navigate to Fixed Asset Management > Asset Information and enter the Master information for the Asset
    • In the Original Value: field, enter $0 so no values post to the asset account
    • Assign the asset to the appropriate yard

  • In the Depreciation tab, delete the Depreciation Base # field so the asset will not create any depreciation expense

  • Exit the window to complete the asset addition
  • Use the Equipment Cost Control > Equipment Charging - Rental Basis > Movement Entry > Equipment Transfers - Miscellaneous to move the Asset between yards
  • Once the asset has been moved permanently to the client site, you can dispose of the asset
