Use the Interface Field Cross Reference window to set cross-references between values in the data file and values PENTA uses. PENTA uses the cross-reference values that you define, if necessary, to make substitutions to interface data that you load. When loading external application data through the interface, the data file must contain valid PENTA values—the same as those you would use if you were entering the data manually through a PENTA data entry window. If you define cross-reference values here, PENTA can substitute these defined values in place of invalid interface data. This allows PENTA to correct and accept a record that it would otherwise reject.

Important: Use the Interface Field Cross Reference window only to set up cross-references for Labor Timecard Interface data files.

PENTA Field Name

The field used in timecard data files. Unless you deleted one or more of the cross-reference records that ship with the PENTA product, you can only query in this field. When you make an entry here, PENTA converts alphabetic entries to uppercase.

Entry is required. No default.

PENTA Code Table

This value displays the column name in the appropriate PENTA table. If you enter a table, PENTA verifies the field values are valid for the table. If you do not enter a table, PENTA does not verify the field values are valid for the table.

Entry is optional. No default.

Interface Field Format

Use this field to enter one of the following:

  • A value you want to set as the default. If PENTA encounters an invalid record that uses the value, it assigns the value in this field.
  • The word DEFAULT. If PENTA encounters an invalid value when processing a record, it substitutes the value in the PENTA Field Format field.

When you make an entry here, PENTA converts alphabetic entries to uppercase. The maximum field length is 30 characters.

Interface Field Format Description

The description for the cross-reference you are defining. For example, you might enter a description such as OU 123 Overhead Account. Do not use apostrophes.

PENTA Field Format

Use this field to enter the value you want to use as a substitute. If PENTA encounters a record that belongs to the Interface Field Format, it assigns the value in this field.

Taking this approach, you can direct PENTA to correct and accept a record with an invalid value (instead of rejecting it). When you make an entry here, PENTA converts alphabetic entries to uppercase.

Maximum field length is 15 characters.
