Ability to post to a closed accounting period - Accounting Authorization Levels

Issue/Symptom/Question

  • Can I post to a closed accounting period?
  • Unable to post items to closed accounting period
    • Whenever I attempt to post to a closed period I get the following error: ""20xx/xx/xx is in an accounting period with a status of Closed for OU XXXX. You are not authorized to enter transactions in periods with this status"

Resolution/Fix/Answer

If a period has been closed and you are unable to post a transaction to it, there are two available options:

  1. The Accounting Authorization field in the Define User screen determines whether or not a user can post in closed periods.
    The Accounting Authorization levels are as follows:
    Level 1: Can only post to periods with unrestricted
    Level 2: Can post into periods restricted and unrestricted
    Level 3: Can post into periods closed, restricted and unrestricted
    Level 4: Can post into all open periods in open fiscal year

    If you are getting the above error, have your manager check your Accounting Authorization level. Levels of 1 and 2 cannot post into closed periods, to post in a closed period you will need your manager to change your Accounting Authorization Level from 1 or 2 to 3. Please note that users will get a warning message every time they post transactions to the closed period.

  2. If the closed period needs reopened please contact your Penta Representative and reference this article. If there is a lot of activity it might be worth opening the closed period, as opposed to changing your Accounting Authorization level.
