Allow Technicians to Add Equipment to Maintenance Contracts

How do I configure Penta to have Equipment added in the field by my Technicians also added to Maintenance Contracts?

NOTE: To use this functionality you must be on Penta version 23.1 or higher. If you are not and would like to use this functionality please contact your Account Administrator and reference this article.


To have Equipment that your technicians create in the field added to existing Maintenance Contracts please update the following in the Mobile Field Service - Configuration screen:

  1. In the Equipment Controls Section of the General tab check the checkbox labeled, "Add new equipment to maintenance contracts with other equipment of the same class".
  2. Once checked, by default all Equipment Classes will have Equipment added to a Maintenance Contract if a piece of Equipment of that class exists on the contract.  To Change this select the "Restrict by Equipment Class" button.

  3. In the Restrict by Equipment Class pop up you can select which Equipment Classes will have equipment added to Maintenance Contracts. To do this:
    1. Make sure the "Add Equipment to Maintenance Contracts for All Classes" checkbox is unchecked. 
    2. Select the Equipment Classes you wish to have added to Maintenance Contracts in the Available section and move them to the Selected section by either double clicking the Equipment Class or highlighting it and using the arrows to move it. The single arrow will move all highlighted Equipment Classes and the double arrow will move ALL Equipment Classes.

  4. To force technicians to confirm if they want their newly created Equipment to be added to any Maintenance Contracts, check the checkbox labeled "Ask technicians if new equipment should be added to maintenance contracts". This will give technicians a pop up when creating equipment asking them if they want that equipment to be added to any Maintenance Contracts.
