In the Define users screen, what is the difference between the User, Server and OnBase IDs?

In the "Define users" screen in PfW, (PENTA for Windows), I see three different user Ids when creating a new user: User Id, Server User Id and OnBase User Id. How are each of these user IDs created and what are each of these needed for?

What each User Id is for

The User Id and Password fields set the PfW user id and password.

The Server User Id and Server Password fields set the Linux username and password tied to the PfW User Id.

The OnBase User Id and OnBase Password field set the OnBase username and password tied to the PfW User Id.


How each User Id is created

The User id (PfW) is created and the password can be updated in the define users screen in PfW.

The OnBase User id (PfW) is created and the password can be updated in the define users screen in PfW.

The Server User Id is created and the password can be updated on the PENTA Linux server by an IT administrator or PENTA support. Depending on how your environment is setup, you may share a single Server User Id among all users or each user may have a unique Server User Id. 


Define Users screen

Open up the Define Users screen in PfW to create a new User ID.

Filling in the User Id field will automatically fill in the OnBase User Id field with the same value. In the example below, I type in TEST as the User Id and it automatically makes the OnBase User Id TEST as well.

Whatever you type into the Password field (Outlined in red in the image below) will set the PfW password.

Whatever you type into the OnBase Password field will set the OnBase Password. If you leave this field blank when setting up a user for the first time, the OnBase password will be set to the same value as the PfW password. 

Enter the Server User Id and Server Password that your administrator or PENTA support created for you. This links the PfW User Id to the Linux user that you entered.

The Linux username and password (Server User Id and Server Password) are used for screens in PfW that use Costar to render by communicating with the Linux server. Many screens do not use Costar so the user can access many screens without having a Server User Id and Server Password set. The Define Users screen is an example of a screen rendered with Costar so if a user doesn't have the Linux user set they would get an error when trying to open that screen.

If a user ever wants to update their OnBase password, they should do it through the Define Users screen in PfW. If the user updates their password directly in an OnBase client, PfW doesn't know about the change which will cause error messages in some PfW screens that communicate with OnBase. To fix this, update the user's OnBase password again via Define Users in PfW. The link below details how to update the OnBase password.
