Penta 2025 End of Year Bulletin 2

This email is the second of five year-end notifications Penta Software issues. It contains important information affecting W-2, 1099-MISC, and 1099-NEC tax reporting for the year 2025.

Enclosed is a link to the partner page for obtaining PENTA-compatible W-2 and 1099 form stock and envelopes from Nelco Solutions here.

PENTA's W-2 and 1099 processes print the boxes as well as data on blank front forms using PostScript. This minimizes form alignment issues.

Printing on PostScript forms requires a PostScript-compatible printer.

Tax forms and envelopes are subject to change each year, dependent on government requirements, so quantities are limited. Order early to ensure available quantities of standard forms and sufficient time for scheduling production of custom forms.

Reminder: W-2 Form MW1284 (Four Down Style) is deprecated and no longer selectable in PENTA.

Nelco Form #83631:
W-2 Blank Form with complete current year instructions

• Four-corner style

• Provides employee copy

• Compatible with envelope 80558

• Nearly blank 8 ½ x 11-inch sheet, with one vertical perforation and one horizontal perforation, 4 parts per page and employee instructions preprinted on the back

PENTA Form IDs supporting form stock #83631:

Quantities:

PENTA produces at least one W-2 form for each employee's paid wages during the calendar year. Employees working in multiple states or local taxing jurisdictions receive multiple W-2s. A W-2 form is a full 4-part sheet, and all 4 parts on a single sheet contain the same data.

W-2 Form includes complete current year instructions on the back of each form. The instructions are subject to change each tax year, so overstocking forms is not advised.

Increase the quantity of forms ordered to:

• Include the number of employees working in multiple states and localities

• Accommodate more than 4 box 14 items

• Accommodate more than 4 box 12 items

• Allow reprinting of spoiled forms

W-2 form option reflects that PENTA:

• Supports electronic filing of W-2s to the Social Security Administration (SSA) and to states

• Does not support paper filing to the SSA and states

• Includes the number of employees working in multiple states and localities

• Accommodates more than 4 box 14 items

• Accommodates more than 4 box 12 items

• Allows reprinting of spoiled forms

The 1099-MISC and 1099-NEC no longer share the same paper stock. In our move to Nelco Solutions, Penta has decided to move to pre-printed recipient instructions on the back of each form specific to the 1099 form you are printing. Both 1099 forms are still compatible with one envelope.

Quantities:

PENTA produces at least one copy of the 1099-MISC form for each vendor designated as a 1099 recipient, paid in the tax year and paid with any 1099 Earn Cd other than 7 (Non-Employee Compensation). PENTA produces a 1099-MISC for each Legal Entity that paid the vendor.

PENTA produces at least one copy of the 1099-NEC form for each vendor designated as a 1099 recipient, paid in the tax year and paid with a 1099 Earn Cd of 7 (Non-Employee Compensation). PENTA produces a 1099-NEC for each Legal Entity that paid the vendor.

1099 Forms include complete current year instructions on the back of each form. The instructions are subject to change each tax year, so overstocking forms is not advised.

Increase the quantity of forms ordered to:

• Provide forms to the same vendor from multiple legal entities

• Provide forms to the same vendor to report state withholding for multiple states

• Provide forms to the same vendor that will receive both a 1099-MISC and 1099-NEC

• Allow reprinting of spoiled forms

• Penta installs W-2 and 1099 program changes with the federal and state payroll tax-table updates in mid December for the currently supported versions of PENTA

• The December update includes Federal and State changes issued before December 12th

• Penta will send information to your organization regarding changes and installation scheduling in a subsequent email

• Late-issued changes are coordinated as they become available and may require subsequent installation scheduling
