Overview:

PENTA offers two unique processes for capturing requisition information in the system. The same OnBase approval workflow can be used with both of these processes, but there are some pros and cons to each

Requisition Process

This process utilizes PENTA's requisition module for tracking and releasing requisitions to purchasing. 

Pros:

  • Eliminate the need for dual entry
  • Can utilize PENTA's request for quote process
  • Utilizes the requisition approval workflow process in OnBase
  • Can use the requisition import from spreadsheet feature in the PENTA requisition window

Cons:

  • Users must connect to PENTA for windows to enter requisition information, this typically rules out requisitions using phones and/or tablets

Bottom Line:

This process is used when it is more important to avoid dual entry, have the ability to create request from quotes, and import material details from a spreadsheet, than it is to have the ability to enter/submit requisitions from tablets or cell phones

Requisition Process w/E-Form

This process utilizes an electronic form to track requisition information rather than PENTA requisition module. 

Pros:

  • Great for submitting requisition requests in the field
  • Utilizes the requisition approval workflow process in OnBase 

Cons:

  • Users must enter the requisition using the E-Form, Purchasing must also manually enter the Purchase Order (dual entry)
  • Unable to use the requisition import from spreadsheet feature in the PENTA requisition window

Bottom Line:

This process is chosen when it is more important to have the ability to enter/submit requisitions using tablets/cell phones, than it is to avoid dual entry, have the ability to create request from quotes, and import material details from a spreadsheet.
